PTA Executive Board Position Descriptions 

PRESIDENT 
The President presides at all meetings of the PTA; serves as a member of all committees except the nominating committee; and coordinates the work (programs/events) of the PTA.* President oversees the following committee: webmaster/website, emailing monthly newsletter, advocacy committee, teacher grants, and the audit committee.

1ST VICE-PRESIDENT
This person oversees the following committees: Reflections, Legislative, Nominating Committee, Muffins with Mom, Donuts with Dad, and the Cultural Arts Program. *

VP OF FUNDRAISING/EVENTS
T
his person manages many types of fund-raising events/activities that support teachers and staff, students, and parents. These include school programs and educational enhancements. This individual oversees the following committees: Laps for Holly Grove, School Store, Book Fair, Spirit Wear, Read Across America, International Night, No Frills and Dining for Technology (D4T).*

VP OF COMMUNICATIONS 
This person oversees the following committees: Holly Grove News Network, Advertisement, Publicity, Yearbook, Website and Welcome Newcomers.

VP OF SERVICES 
Oversees the following committees: Character Education, Campus Beautification, Field Day, Curriculum Enhancement Programs, School Improvement Team, SEPTA, Board Advisory committee and Coats for Kids.

VP OF MEMBERSHIP/HOSPITALITY
This person oversees the following committees: PTA Membership, Staff Appreciation, Staff Luncheons, 5th Grade Graduation, Chocolate Day, and Staff Birthday Treats.

SECRETARY
The Secretary records the minutes from each meeting and maintains board documents and records. This person must ensure the accuracy of meeting minutes and informs board members of meeting dates and times.

TREASURER
The Treasurer has custody of all funds of the PTA. This person maintains accurate accounts of receipts and expenditures in accordance with the annual budget, prepares a monthly Treasurer’s Report, and files required tax forms on behalf of the PTA.

* Due to the knowledge that is needed for the positions of President, 1st Vice President, and Vice President of Fundraising/Events, whenever possible they should be filled by a person with at least one year of experience with the Holly Grove PTA (regularly attending PTA meetings, actively participating on a committee, and consistently volunteering at major school functions).

All officers are required to be at the monthly PTA meetings, keep in contact with their committee chairs and provide support when needed, and keep all records in a procedure book for the next volunteer who takes over the position.

Here are outlines of the Committee Chair positions. These individuals are a core group of volunteers that make the programs happen at our school. All Committee Chairs are voting members and are asked to attend the monthly meetings.

Laps for Holly Grove
This is our one fundraiser for the school year, where each student gets to participate.
-Copy and distribute the following to all students (4 hours)

Prize list
-Collect donation forms (daily 2 hrs for 2 weeks for each event)
-Tally donations
-Record all donations
-Make copies of all donation forms for our records
-Prepare deposit and deliver to treasurer
-Solicit Top Raisers prizes
-Contact last year donators for prizes; make new contacts (40 hrs)
-T-shirts for all staff, students and board members
-Create new design
-Collect sizes from class teachers and staff
-Order shirts from printer
-Separate and distribute shirts
-Create and copy order form for parents and  sibling orders
-Collect and tally orders, make deposit
-Solicit T-shirt sponsors for shirts. (40 hrs)
-Contact last year’s list and see if they will sponsor again
-Make new contacts
-Sign contracts with sponsor, get artwork for shirt
-Send to printer, proof shirt
-Volunteers- (5hrs)

-Confirm Bounce Houses and Games (1hr)

-Confirm police car or motorcycle with sirens

Book Fair

Coordinate the Scholastic Book Fair in February-March.
- Set date for book fair with media specialist and principal (30mins)

- Create, copy and distribute volunteer flyer (1 hr)
- Review theme of book fair using website (2 hr)
- Contest to get students excited
- Contact entertainment for Family Nights (1hr)
- Create Bulletin board (1hr)
- Assign volunteers and send home guidelines for book fair (2 hr)
- Oversee book fair (60 hrs)
- Schedule classes to preview and purchase (1hr)
- Count money daily and conform reports, prepare deposit (1-11/2 hr daily)
- Family nights

Character Education
This program promotes positive character traits education throughout the school year. Each month a new character trait is introduced. Students are encouraged to talk about good character. Students are recognized when they display a character trait.
- Coordinate Character Education volunteers and the schedule for K-2 classes,
- Design and put up a bi-monthly Character Education Bulletin Board
- Work with the School Counselor on 3-5 Character Ed Assemblies.
- K-2 Character Ed Classroom Volunteers- 1 hour for 6 months of the school year. Curriculum is provided for each volunteer as they lead their child's classroom/a classroom through the character education trait.

SEPTA Liaison 
Special Education Liaison; provides information and advocacy updates the PTA board. (1hr per Month)

Staff Appreciation Week 
This committee coordinates various activities during Teacher/Staff Appreciation Week in May. This week is set aside all over the country to honor educators. This is a great time for parents and students to express their gratitude for their teacher and the Holly Grove staff.
- Create flyer of ideas for parents and students to appreciate their teacher during the week, make copies and distribute classes. (1hr)

Audit Committee
The audit committee is composed of no less than 3 members PTA members. Committee is responsible for all audits and financial reviews of the PTA.
-Monthly financial reviews- review and sign all monthly bank statements. (1hr) Conduct a financial review when any Board of Director leaves office (who has signature rights on bank accounts) (2hrs if applicable) Annual financial review- examines the treasurer yearend report, all bank statements and deposits and all expenditures. Committee signs off on check list and review. (3hrs.)

Staff Luncheons  
(
2 times a year, August & April) If possible, we try to obtain a chairperson for each luncheon. This person coordinates the event by soliciting volunteers for food, donations, decorations, etc. The staff really enjoys these!
- Create flyers for donations, make copies, and distribute (1 hr)
- Collect food morning of luncheon (4hrs)
- Set up (1 1/2) hrs)
- Host luncheon (1 hr)
- Clean up (1 1/2 hrs)

Campus Beautification 
Coordinates with the principal the needs for the year.

Legislative  
The PTA is the largest advocacy organization for children in the United States.
- Read monthly National PTA website for updates and pending issues (1 hr per month)
- Inform PTA board

Newsletter/Social Media: (The Hedgehog Herald)
This committee is responsible for gathering the latest news for Holly Grove and sending updates as needed via the network.
- Responsible for setting deadlines for the newsletter information (15min monthly)
- Create and design the newsletter with the information submitted by board members (4 hr)
- Send out newsletter for proofing to board (15min)
- Send final copy to president and webmaster (15min)

Yearbook
Create and design the yearbook.
- Create and design the yearbook (Feb-March 40 hours)
- Take and collect pictures of all classes and clubs (July- Jan., 1 hr per month)
- Distribute order forms and collect money, keep track of all orders (Nov. - Feb. once weekly 1 hour)
- Distribute yearbooks- (2 hours)

Website Maintenance
Design, maintains, and updates the Holly Grove PTA website.
- Update website with current newsletter and information (1 hr monthly)
- E-mail newsletter to Hedgehog families (1hr monthly)

No-Frills (Box Tops) 
Responsible for collecting box tops and drink pouches weekly, cutting, counting and mailing in our submissions. Keep running records of each class’s totals. Collect VIC and Food Lion rewards numbers to enter on their websites. (All year long)
- Collect box tops from classrooms – weekly – (2 hour)
- Count/clip/bag box tops – several hours (depending on the number of box tops and number of volunteers)
- Prepare box tops for submission –) minimum 2x per year prior to October/March –(4 hours)
-Write article for newsletter – monthly – (30 mins)
- Present winning class with certificate – monthly – (1 hr)

Dining for Technology (D4T)
Sets the calendar in the beginning of the year for restaurant events every other month (minimum 6 per year) to raise money for technology equipment for the school.
- Contact local business to set up dates for D4T. (2 hrs one time)
- create flyers, copy and distribute (3 hrs. one time)

School Store 
Establishes a schedule for operating the school store.
- Open school store 4 times monthly (4 hrs total)
- Maintain inventory, place orders for new items (with board’s approval) (1/2 monthly)
- Count money for deposits and deliver to treasurer (2 times monthly)

School Spirit Wear
Organize the sales of HGES brand items July-September, up to two times per year.
- Create flyers, copy and distribute to teachers. (1 hr)
- Collect order forms and count money. Prepare deposit and drop of to treasurer (30-1hr weekly)
- Place spirit wear order with printer (30 min)
- Pick up Order for printer (30min.)
- Separate and distribute orders (2 hrs.)

Curriculum Enhancement Programs 
Works with the leadership team and grade level staff to select hands-on science activities that are aligned with state standards. The activities are treated as in-class field trips and every classroom at every grade gets to participate throughout the year.
- Present options to leadership team (30min.)
- Coordinate dates with Science Company, confirm with teachers (1hr.)
- Send reminders of programs to teachers (15min.)
- Receive invoice and fill out check request and give to treasurer to write check. (15 min.)

Membership Drive 
Manage and maintain the PTA membership information.
- Create membership form, copy and distribute. (1 hr)
- Collect forms and money, prepare deposit and deliver to treasurer (July- Sept 30-1hr weekly, after main drive a few per month till March)
- Maintain Table at all Meet the Teacher, Open houses, and Kindergarten Orientations (5times for 2 hours per night)
- Enter members in PTA database (1hr per month)
- Fill in, and deliver membership cards and calendars (1/2 weekly July-Sept, after main drive a few per month till March)

COMMITTEE COORDINATORS
The coordinators are not voting members of the PTA board, but they need to update the president monthly and are encouraged to attend the monthly PTA meetings.

Welcome Newcomers 
This person prepares packets of important for new Hedgehog families.
- Create a welcome cover letter
- Make copies of current month’s events as well as membership, newsletter, spirit wear.
- Distribute packet to all new parents to Holly Grove (1 hour monthly)

Advertisement for Newsletter 
This person solicits local businesses for advertisement in our newsletter
-contact current advertisers as well as contact new businesses. (1hr monthly)

Coats for Kids 
This program is to help the less fortunate members of our school and county. Our school collects gently used coats for adults and children, to be donated to our own students and to local people in need. (November)
- Create flyer, make copies, and distribute to teachers (1hr)
- Place barrel at school for collections (30 min)
- Collect Coats (1 daily for duration on drive 30-1hr depending on amount)
- Contact Salvation Army (30 min)
- Drop off coats (1 hr)

Muffins with Mom 
Coordinate a nice morning for moms and their children. (May)
- Create flyer, make copies and distribute to teachers (1hr)
- Collect RSVP (weekly 30 minutes.)
- Order muffins and shop for paper products, and pick up muffins (2 hrs.)
- Set up (30 minutes)
- Serve (30 minutes)
- Clean-up (30 minutes)

Donuts with Dad
Coordinate a nice morning for dads and their children. (April)
- Create flyer, make copies and distribute to teachers (1hr)
- Collect RSVP (weekly 30 minutes.)
- Order muffins and shop for paper products, and pick up muffins (2 hrs.)
- Set up (30 minutes)
- Serve (30 minutes)
- Clean-up (30 minutes)

Chocolate Day 
Coordinate volunteers to donate chocolate items for the Holly Grove Staff.
- Shops for paper products, chocolate, and dipping items. (2 hrs)
- Set up/ host/ and clean-up (2 times per year for 2 hrs)

Publicity
This committee coordinates all activities to publicize Holly Grove Elementary events and accomplishments throughout the school year. (1 per month, 1 hr)

Nominating Committee 
Each year the PTA needs to elect new officers; this committee consists of 3-5 volunteers. The committee searches for volunteers to serve on the PTA board for the following school year.
- Creates flyer of the PTA positions, copy and distribute (1 hr)
- Form Committee 
- Present Slate of officers at general membership meeting. (30min.)

Reflections
This committee organizes the PTA annual Reflections contest and encourages all students to enter. Must recruit judges and prepare entries for submission to the Wake County PTA Council. (September – October)
- Attend Council Meeting – (2 hrs)
- Flyer (copy, distribute) – (30 mins)
- Ad for Newsletter- (30 mins)
- Collect Artwork from students (collection box in office) – (weekly)
- Review student entry forms for correctness/return forms to students for correcting if necessary – (30 minutes or more depending on the number of entries)
- Set judging day/choose judges – (30 mins)
- Take photo of students for the yearbook/HS Sun newspaper – (30 mins)
- If necessary, prepare artwork for council judging (forms, drop off/pick up) – (1-2 hours or more depending on the number of entries)

Cultural Arts
This committee selects and organizes the cultural arts presentations for the school year.
- Attend United Arts Council meeting – (2 hours)
- Select Artists (depending on budget set by PTA board) – (2 hours)
- Contact artist via phone: set performance date(s)/time(s), complete contract(s) via fax – (2-3 hours)
- Attend Artist Fair at Wakefield High School – August – (2 hours)
- Confirm all set performance dates with Mrs. Thomas – (30 mins)
- Forward artists handouts (if any) to teachers prior to the performance – (30 mins)
- Be at school to greet artists and assist them with set up/break down (if necessary) – (3-4 hours)
- Distribute artist evaluation forms to teacher/collect completed evaluation forms – (30 mins)
- Work with United Arts Council to get the artist paid (differs based on each artist) – (1 hour)
- Write ad for newsletter – (30 mins)
- Take pictures and submit with article to HS Sun newspaper – (30 mins)

Teacher Grants 
Each year the PTA offers the teachers/staff an opportunity to apply for mini grants.
- Distribute Applications to all HG Staff (30min)
- Collect applications (15min)
- With Boards help select judges (30min)
- Set-up dates for judging make copies of applications (30min)
- Submit winners to the board for awarding (5min)

Kids Voting
Responsible for encouraging our students to vote with their parents in upcoming elections through kids voting. This is a pre-scripted program with a good resource on the website. This committee is only active during years with Presidential elections.

Board Advisory Council 
Each school PTA selects one representative to attend regular meetings then report meeting highlights during monthly board meetings. This representative also solicits concerns from Holly Grove parents and takes these concerns to BAC meetings. Periodically submits articles to the newsletter editor to keep parents informs of BAC activities. (Once per month for 1 hr)

School Improvement Team 
The SIT is part of the site-based management of schools, which is an effort to give school local control in making decisions on how to improve student achievements, this is a state mandated program and parent participation should reflect the school's’ population. Responsibilities include:
-Report on goals of the school improvement plan to the board and to the PTA membership during monthly meetings.
-Work with school administrations and teachers to involve parents in achieving these goals. -Encourage the principal to invite parents to serve on school committees.
-Keep President informed of activities on an on-going basis. (1 once month for 1 hr)

5th Grade Graduation  
Responsible of planning details for graduation celebration. (May & June 2 days for 3 hours)
- Decoration- balloons, banners, and tablecloths
- Set-up, serves and cleans up
- Order and pick up cakes
- Shop for paper products and drinks

International Night  
This event brings Holly Grove families together to learn about different cultures in our school. Participates provide food, artifacts, and display boards at their table for children to look over.
-create and send out flyers (1hr)
-work with NC STATE international students to make sure all countries are represented. (2hrs)
-arrange for food truck for event (2hr)
-organize entertainment/craft project (1hr)
-set up, host, and clean up event (3 ½ hrs)

Family Fitness Nights
The PTA will hold 4 family nights all geared towards fitness.
-Create, copy and send out flyers (2hrs)
-Arrangement the theme and solicit teachers to teach class (2hrs)
-Set up, and host, clean up event (3 hrs)

Staff Birthdays 
Responsible for collecting staff birthday information. Purchasing their favorite candy bar and writing a birthday card. Placing card and candy in staff mailbox on their birthday.

5th Grade T-shirts
Responsible for having t-shirts completed by March
-Contact the 5th grade teacher for their class names and shirt sizes for students and teachers (30 mins)
-Send names to Ads in Actions (30 mins)
-Wait for proof and send to teachers for approval, send any changes to the printer (30 mins)
-Pick up shirts once they are ready and deliver to 5th grade teachers. (1hr)

Spelling Bee 
This person is responsible for organizing our school wide spelling bee using the rules and regulations described by the National Scripps Spelling Bee
-The chair should provide an updated words list for teachers (2hr)
Become familiar with the rules set forth by Scripps (2hr)
- Coordinate a timeline for in-class spelling bees with teachers and principal (2 hrs)
-Schedule grade level spelling bees (6 hrs)
-Schedule our school wide spelling bee (6 hrs)
-Prepare certificates for all participants (2 hrs)
-Help prepare to our school’s winner prepare for the Wake County spelling bee. (2 hr)

Kick-off Picnic
This person is responsible to organize 2 kick off picnic a week after each open house for all students and their families to get to know one another and their teacher.

-The chair will work with the principal to confirm dates for events (1/2)
-Arrange/confirm for DJ for both events (1/2)
-Arrange/ confirm hot dogs and italian ices (1/2)
-Create/copy and distribute flyer to teachers (2 hrs)
-Collect RSVP’s and give count for hot dogs and italian ices
-Ask for Board volunteers so parents can enjoy their event
Set up/Clean up (2 hours)

Field Day
This person is responsible for communicating with Coach Benson on his needs for field day.

-Contact Coach Benson 4 weeks in advance of field day (1/2)
-Get total number of water bottles and ice pops cups, and gatorade needed (1/2)
-Shop for all items and deliver to Coach (3 hrs)

Staff Snack Cart
This person is responsible for coordinating with principal the date for snack cart. Always during transition week of new school year.

-  order 2 fruit trays from Harris Teeter (1/2)

Staff Monthly Bagels
This person is responsible for arranging bagels and cream cheese for staff on their monthly staff meeting.
